🏥 About Speech Therapy Plus

Speech Therapy Plus (STP) was founded by Julia Chanova in 2015 as a private speech and occupational therapy clinic serving children and adults with various speech disorders, physical, or cognitive difficulties.

Our STP family has grown significantly since then and now consists of:

  • Speech Therapists (SLPs)
  • Occupational Therapists (OTs)
  • Physical Therapists (PTs)
  • Literacy Specialists
  • Office Administration & Patient Coordinators

📄 How We Serve Clients

Step 1: Evaluation

Our experienced team assesses a potential client's abilities and needs through a comprehensive evaluation.

Step 2: Personalized Care Plan

If the client qualifies, a personalized care plan with specific goals is developed by the therapist.

Step 3: Scheduling

The therapist communicates frequency needs (e.g., 2-3x per week) to the front office. Patient coordinators schedule the sessions.

Step 4: Therapy Sessions

Sessions are 30 minutes and take place in our offices. Therapists use a variety of tools tailored to each client's unique needs.

Step 5: Ongoing Care

Home sessions and telehealth options are also available. Some therapists do strictly telehealth, some in-person, some a combination.

💬 Why Communication Matters

Communication is KEY at STP. With multiple patient coordinators working across different offices and shifts, ensuring smooth handoffs is essential. If you leave and a colleague comes in at 4 PM, they should know exactly where things stand.

📱 Slack — Internal Communication

Slack is STP's primary internal communication platform.

Getting Started with Slack:

  1. You will receive an invite to your personal email — accept it
  2. Send your professional photo to Human Resources for approval before uploading
  3. Photo requirements: professional, neutral background
  4. You'll have access to group channels, direct messaging, and the Front Desk channel

Key Slack Channels You'll Use:

  • #front-desk — All patient coordinators communicate here
  • #front-desk-coverage — Post coverage requests when you need time off
  • Direct Messages — Reach HR, the Office Manager (Nicole), or any team member

Tip: Slack is great for real-time communication. Type a colleague's name to start a direct conversation. You'll get responses right away!

📧 Outlook 365 — Email

  • The office shares one main email: office@speechtherapyplusllc.com
  • All incoming emails are handled through this shared inbox
  • Different folders help organize emails by category
  • The email already includes the confidentiality notice and company logo

Important: ALWAYS add your name when sending an email. If there's a follow-up question, we need to know who sent it!

📅 Team Meetings & Updates

  • Open House (Tuesdays 1–2 PM): No clients are scheduled — this time is used for patient coordinator meetings
  • Meetings can be in the office or off-site (like a smoothie spot!)
  • Covers friendly reminders, updates, and Q&A
  • Monthly Newsletter: Sent to the office email with important news, Employee of the Month, and community events

📝 Practice Exercise: Slack Message

Scenario: You're leaving for the day at 8 PM. A parent called about rescheduling their child's Thursday appointment, but the therapist hasn't confirmed availability yet. Write a Slack message in the #front-desk channel so the morning team can follow up.

Great effort! A good handoff message should include: the client's situation, what action was taken so far, and what still needs to happen. Make sure to tag the relevant person if possible.

💲 ADP — Clocking In & Out

  • All staff must register in ADP
  • Clock in at the start of your scheduled time and clock out at the end
  • The ADP app has a Quick Clock feature for faster clock-in
  • If you forget to clock in, message HR immediately with the correct time

Why clocking is critical: ADP automatically calculates your sick time accrual based on hours worked. Missing clock-ins affect your benefits!

📋 Time Sheets & Payroll

  • Payroll is biweekly (every 2 weeks)
  • Time sheets must be submitted by 8:00 PM on the last day of the pay period
  • A reminder email is sent on the Tuesday before the deadline
  • During training, you must submit a time sheet with your actual hours worked
  • Once you begin your regular 40-hour schedule, time sheets are no longer needed (ADP tracks it)
  • Email completed time sheets to Human Resources and CC Julia (Director)

🌴 Requesting Time Off

The Process:

  1. Submit requests at least 30 days in advance
  2. Check the Outlook blackout calendar — only 1 person per department allowed off per day
  3. Post in the #front-desk-coverage Slack channel to find coverage
  4. If no one responds, post again the next day (people work different shifts!)
  5. Once coverage is confirmed, fill out the Time Off Request Form with the covering person's signature
  6. Submit the form to HR for approval

Rule: Only ONE person from each department may be off on any given day. If someone is already approved for that date, you must choose a different day.

📞 Calling Out Sick

  • Notify by 7:00 AM via email, regardless of your shift start time
  • Also text the Office Manager (Nicole) so she can adjust the schedule
  • If out for 3+ days, a doctor's note is required
  • The call-out rule also applies during inclement weather if the office is open

⚖ Standards of Conduct

Employees must not engage in behavior considered unacceptable at work, including but not limited to:

  • Falsification of time sheets or documents
  • Possession or distribution of prohibited substances
  • Fighting or violent behavior
  • Violations of safety protocols
  • Any behavior inappropriate for a professional healthcare setting

🛑 Anti-Harassment Policy

STP strictly prohibits and does not tolerate unlawful harassment against employees or any covered persons based on race, sex, creed, national origin, religion, ancestry, marital status, or any other characteristic protected under applicable federal, state, or local laws.

📱 Social Media Policy

  • When representing STP online, posts must reflect company values and standards
  • Never share confidential information about clients, coworkers, or the company
  • All interactions must be respectful and professional
  • If you see concerning content on STP social media, bring it to HR's attention
  • Ensure participation aligns with contractual obligations and company policies

🔧 Workspace & Office Maintenance

  • Therapists are responsible for maintaining their assigned rooms
  • Patient Coordinators are responsible for common areas
  • Each office has an opening procedures and closing procedures checklist
  • Checklists vary by location (e.g., Saddle River Rd office has 3 bathrooms to maintain)

⚠ Disciplinary Action Process

Step 1: Verbal Warning

A conversation to address the issue and check in on any underlying problems.

Step 2: Written Warning

If the behavior continues, a formal written warning is issued and documented.

Step 3: Termination

Continued violations may result in termination of employment.

Note: For serious violations, the process may skip directly to investigation and termination depending on the severity.

🩹 HIPAA Training

All employees are assigned HIPAA training through ADP on their start date. This is mandatory.

HIPAA training covers:

  • Privacy and security rules
  • Data protection practices
  • How to properly handle sensitive client information
  • How to report breaches immediately

🧾 Workplace Injury Reporting

  • Workers' compensation (through The Hartford) covers all work-related injuries
  • If injured on the job, fill out an Incident Report Form immediately
  • Document: what, when, where, and how the injury happened
  • Scan and send the report to HR right away
  • The company covers expenses for treatment of work injuries

Remember: It's better to have the report and not need it than to need it and not have it. Even if you feel fine, document the incident!

Module 5: Benefits, Referrals & Growth

🏥 90-Day Introductory Period

Your first 90 days are critical. Here's what happens during this period:

  • 30-Day Check-in: HR sits with you individually to review your progress
  • Attendance and punctuality are especially important
  • Any time off during this period is unpaid
  • After 90 days, you're eligible for benefits, PTO, and to use sick time

Annual Performance Reviews: Including raises, are conducted on an annual basis.

💚 Health Benefits

Full-time employees are eligible for the following after the 90-day introductory period:

  • Medical insurance
  • Dental insurance
  • Vision insurance

A few weeks before your 90-day mark, HR will schedule a meeting to go through all available benefits. You may elect coverage or waive it if you already have benefits elsewhere.

🌴 PTO (Paid Time Off)

🤒 Sick Time

  • Accrual begins from your first day of work
  • Rate: 1 hour of sick time per 30 hours worked
  • Maximum: 40 hours per year
  • Sick time DOES roll over into the new year
  • Usable after the 90-day introductory period

What Can Sick Time Be Used For?

  • Caring for yourself when ill
  • Caring for a sick family member
  • Mandatory school meetings for your child (IEP, 504 plans, etc.)

Partial-Day Use: If you attend a 2-hour school meeting, only 2 hours of sick time are deducted — not the whole day. You can come to work after!

  • Christmas Week: Office closed for ALL staff — PAID for full-timers

🌪 Inclement Weather Policy

  • Unless notified, consider the office open
  • Use your best judgment on whether it's safe to travel
  • Office closure/delay decisions are made between 6:00 – 6:30 AM
  • If the office opens late, therapists start Zoom sessions from home; staff works remotely
  • A 1-hour travel window is provided before in-person work resumes
  • If you work the 8–4 shift, take a laptop home the night before if bad weather is expected
